Overview
The Pipedrive integration imports your Pipedrive deals into Operating and creates a linked Project for each one in tentative status, so you can start planning resources as soon as a deal reaches the stage you care about. Alongside deals, it imports the associated organizations (as Clients) and deal owners (as Project owners), keeping your data aligned across both systems. Powerful filtering lets you control exactly which deals are imported β by pipeline, stage, or custom fields.
Once configured, matching deals are imported as Projects automatically. Keeping their properties in sync afterwards is optional β Project, Client, and Budget updates are off by default, and you enable them per type under Other settings.
Before you begin
You can install apps and authorize integrations in your Pipedrive account.
You have the manage integrations permission enabled for your user in Operating.
Step 1: Connect Pipedrive
Go to the Integrations page in Operating (Settings β Integrations), find Pipedrive, and click Connect. Authorize the integration with your Pipedrive credentials and choose the Pipedrive account you want to link. You are then returned to Operating with the integration active.
Step 2: Select which pipelines to sync
After connecting, the Pipedrive configuration shows the deal pipelines on your connected account. Choose the pipelines you want to import deals from.
Step 3: Select which stages trigger project creation
For each pipeline, select the stages that are relevant to Operating. A deal is imported, and a Project created for it, when it reaches one of these stages β unless it is excluded by the additional filters in the next step. You must choose at least one stage.
Step 4: Preview deals and add filters
A preview table shows the deals that currently match your criteria. If many deals match, the table shows the most recently updated ones, with the total count above. Add additional filters (for example on custom deal fields) to narrow the import to only the deals you want.
Step 5: Map fields
Map fields from Pipedrive into Operating so your sales team's data flows through to delivery and staffing without re-entry.
Deal β Project. Default fields such as deal name, owner, description, organization, and key fields like amount, probability, and expected close date map to the Project automatically. Optional fields β project start and end date, site, billing type, groups, and tags β can be mapped manually.
Deal amount β Budget. You can map a deal field (typically the amount) to a project Budget. Operating creates the budget in the deal's currency, adding the currency to your organization if needed.
Organization β Client. Organization (Pipedrive's term for a company) properties map to a Client in Operating. The organization name maps by default; you can manually map additional fields, including Client tags.
Imported deals are also stored as CRM deals in Operating β read-only references to the Pipedrive deal that you can use to group and filter data in views.
Step 6: Save and import
When you are happy with the configuration, click Save configuration and import matching deals. Operating runs an initial import. To keep deal properties updating afterwards, enable the property syncs under Other settings.
Key functionality
Deals import as tentative Projects. When a matching deal is created or updated in Pipedrive, it is imported as a Project in tentative status, so you can plan resources before the deal closes.
New deals create Projects automatically. Keeping Project, Client, and Budget properties in sync with later Pipedrive changes is off by default β enable it per property type under Other settings.
Organizations and deal owners. Organizations on imported deals become Clients; deal owners become Project owners, and a Person is created in Operating if the owner doesn't exist yet.
Optional name sync. You can keep Project and Client names in sync with Pipedrive deal and organization names.
Follow deal status. Follow deal status. The linked Pipedrive deal's pipeline stage is shown on the project's row in the Projects page.
