User Guide: View Options in Operating

View Options allow you to tailor how Operating displays and inputs data based on your personal preferences. These settings only affect your own view — they won’t change what others see.

Use View Options to:

  • Choose how you input allocations

  • Decide how total effort is displayed

  • Configure how people and time off are shown

  • Adjust for your work style and visibility needs

You’ll find these options under Settings → View Options.


1. Adding and Editing Allocations In The Allocation Popover

Choose Allocation Units

When entering work effort, you can choose a format other than percentage (%):

  • Hours per day

  • Hours per week

  • Hours per month

  • Days per week

  • Days per month

These input types allow flexibility depending on how you scope or sell work (e.g. daily capacity vs. time blocks).

Note that per month uses 20 days as an average monthly working day amount, making this way of allocation work right “on average”, but the work effort on a specific month may be wrong.


What Happens When You Change the Length of an Allocation

When you change an allocation’s time range (start or end date), decide which value to keep fixed:

  • Keep the %, and automatically recalculate the total effort

  • Keep the total effort, and let the % adjust to fit the new range

The one you choose is determined, how you normally sell your work: do you sell your consultants capacity over time, or fixed chunks of work, e.g. “20 days of consulting”


Show Total Effort As

Choose how you want total effort to appear when adding work:

  • Days

  • Hours

These values are based on your organization's working time. For example:
If full-time = 40 hours/week, then 1 day = 8 hours.


2. Allocation Summary Format

How Summary Rows On The Timeline Display Allocations

Choose how allocation information is shown in summary rows on the Timeline:

  • Percentage (e.g. “50% of capacity”)

  • Effort Units (e.g. “10 days” or “30 hours”, if start and end dates are set)

If no date range is provided, only percentage is shown.


3. Financials on Allocations

Choose whether to display financial information on allocations in the timeline. When set to a value other than "None", you'll see financial data directly on allocation bars, giving you quick visibility into project costs or revenue without opening the allocation details.


4. Highlight Allocations Overlapping with Time Off

Enable this option to flag conflicts visually:

  • Allocations that overlap 100% Time Off will be highlighted in orange

  • Helps you quickly identify booking conflicts


5. First Day of the Week in Date Pickers

Choose which day starts the week in date pickers:

  • Monday (default)

  • Sunday

This setting only affects date pickers. In reports and other features, a week always starts on Monday and ends on Sunday. Saturday and Sunday are considered non-working days and are hidden from the timeline.


6. External People (Externals)

Visibility of Externals in Timeline and Reports

Choose when to display people marked as external:

  • Always (even if they have no work assigned)

  • Only when they have work during the visible time period

Suggestions and Autocomplete Behavior

Control whether externals appear by default in suggestion lists (e.g., when assigning people in Team Setup, or on the timeline when clicking Find Person… on a position with no person assigned):

  • Suggest externals by default

  • Only show your own people in suggestions by default

6. Date formatting (dd/mm or mm/dd) in the app

Operating uses the browser locale to decide how dates are shown. (A browser locale is a setting that determines the language and regional preferences for displaying content in a web browser. It influences how text, dates, and other localized elements are presented based on the user's location and language settings.)

There are many browsers out there but here’s one useful link to see how some of the most common browser setting can be edited.

View Options allow you to configure how you interact with and interpret planning data — without affecting anyone else’s view. Take a few minutes to set these up to match how you plan, sell, or track work. It’ll make your day-to-day much easier.
